The Complete Signing Appointment Checklist: Before, During, and After

Most signing errors don't happen because agents lack knowledge. They happen because agents skip steps. A checklist eliminates that problem entirely.

This guide covers every step of a signing appointment — whether you're working through a signing service or handling a direct escrow/title job. Print it, bookmark it, or use SigningOS's built-in signing checklist to track each step automatically.

When You Accept the Order

  • Read the special instructions immediately.:Every signing service has unique requirements. Read them first, not when you're driving to the appointment.
  • Call the borrower to confirm the appointment.:Verify: date, time, location, gate codes or access requirements, that they'll have unexpired ID, that all signers will be present, and the spelling of their name.
  • If no one answers::Leave a voicemail AND send a text message. Modern cell phones block unknown numbers — texting ensures you reach them.
  • Prior to the Appointment

  • Confirm with the signing service:that you've made contact and everything is set.
  • Check for updated special instructions.:Things change between order acceptance and signing day.
  • Verify scanback requirements and deadline.:Know the exact cutoff time before you leave your house.
  • Ask for the after-hours phone number:if the signing is after business hours.
  • Collect every phone number you can::Loan Officer, Escrow Officer (or Title Officer / Attorney in attorney states), and Real Estate Agent (if it's a purchase).
  • If you received the LO or RE Agent's number directly,:call them. Introduce yourself as the notary on their file. Express gratitude. Assure them their borrowers are in good hands.
  • Print documents per page size::Legal on LEGAL paper, Letter on LETTER paper. Print TWO sets.
  • Verify the borrower's name spelling:matches on the documents AND on their ID.
  • Review docs for mistakes::Look for mis-scanned pages (page 3 of 15 missing, for example) and get familiar with the packet.
  • Locate the nearest FedEx/UPS:from the signing address and save their phone number and hours.
  • Dress professionally.:Business casual minimum — your clients expect it.
  • Map the route and factor in traffic.:Arriving late is one of the fastest ways to lose a client.
  • Save contact info:for both the borrower and whoever gave you the signing.
  • If There Are Witnesses

    Witnesses are a common source of errors because most signings don't require them — so agents aren't prepared.

  • If you see a witness signature line:on a document but weren't told to bring a witness, call whoever gave you the signing to confirm.
  • Verify ALL witnesses::Present, 18 or older, names match their ID, ID is not expired.
  • If a witness ID is expired,:ask about alternatives: Passport, Military ID, or State/County/Local Government-issued ID per local laws and lender requirements.
  • Confirm whose responsibility it is:(yours or the borrower's) to ensure witnesses are present.
  • At Arrival

  • Check in with the signing service:via email or text — confirm you've arrived.
  • Check in with any other party:whose phone number you received. Let them know you arrived and that you'll reach out if the borrower has questions you can't answer. Only contact the mortgage professional if you received their info directly from whoever assigned the signing.
  • At the Signing Table

  • 1.Introduce yourself. Shake hands. Ask where they'd like to sit.
  • 2.Give a brief overview of the types of documents and an estimated time.
  • 3.Verify ID. Ask for their government-issued photo ID. Ensure the name on the documents matches the name on the ID.
  • 4.Photo the ID via their printer. If no printer: have the borrower take a picture on their phone and upload to the portal or email to whoever gave you the signing. Delete from your phone immediately in front of the signer.
  • 5.Explain how to sign: Full signature as it's printed on the documents. If they refuse, don't argue — note it and move on.
  • 6.Use BLUE INK ONLY unless otherwise instructed.
  • 7.Walk through each document. Give a brief description. Take your time — it is NOT a race.
  • 8.Ensure the borrower fills out all fillable information.
  • 9.Verify all signatures, initials, and dates are completed on each page BEFORE moving to the next.
  • 10.Fill out all notary sections properly and in the presence of the borrower.
  • 11.Complete the Notary Journal: Date, Time, Type of Notary Act, Address where notarization performed, Doc Type and Date, Name and Address on Signer ID, Type of ID and ID Number, Signer Signature, Right Thumbprint of Signer.
  • Signing Complete (Before You Leave)

  • THOROUGHLY REVIEW ALL DOCS:for missed signatures, dates, and initials. Flip through each page in front of the borrower.
  • Say this::"Now I'm going to take about 5-7 minutes to double check these documents to make sure we didn't miss anything so you don't have to see my face again!" Borrowers always laugh — and you catch every error.
  • Check the Patriot Act form:(customer ID form). Is it filled out and signed? If YOU wrote the ID information, you sign the document even though your name isn't on the bottom.
  • Review all notary sections.:Filled out per your state's requirements? Stamp legible? Date filled in? Did you sign?
  • ·Thank them for their time.
  • Immediately After (Before Driving Away)

  • Review the documents one more time:for quality assurance BEFORE you start the car.
  • ·If something is missing or incorrect, go back inside and fix it immediately.
  • Scan the docs:if scanback is required. Follow the signing service's specific instructions.
  • Get clearance to ship:before dropping off. If you're close to the cutoff and haven't received clearance: default to shipping, but communicate to the signing service why you shipped without clearance.
  • Drop off at FedEx Store or UPS Store.:Always go to the counter — **GET A RECEIPT.** If you're in a rural area with only drop boxes, use them, but take a photo of you dropping the docs.
  • Call whoever gave you the assignment.:Tell them the signing is complete and went well. Thank them for the opportunity. **Ask them to mark you as preferred in their system or leave you a thumbs up.** This is how you get repeat business.
  • Call anyone else:whose phone number you received. Tell them the signing went perfectly. Thank them for their business and ask them to remember you for their next signing.
  • Next Day

  • Follow up:(ideally by phone) with the signing service to ensure docs arrived and nothing was missed.
  • Follow up with any other party:— same check. This builds the relationship.
  • Show gratitude:to all parties involved. Send a **handwritten thank you card.** It costs pennies and separates you from 99% of agents.
  • One Week Later

  • Follow up:with whoever gave you the signing to ensure funding went off without a hitch.
  • Follow up with any other party:to confirm funding closed smoothly.
  • If you are called about a mistake: be gracious, apologize, and fix it immediately. The way you handle an error determines whether you lose one client or one career.

    When you skip a step on this checklist, here's what it can cost the borrower:

  • Rate lock extension::$400–$1,800
  • Re-lock rate::$800–$3,000
  • Hotel for displaced sellers and buyers:(Friday-to-Monday delay): ~$1,000
  • Storage for moving trucks and rescheduled movers::$500–$1,000
  • Missed end-of-month closing:(mortgage payment comes due + rate lock extension): $2,000–$5,000+
